The supply of alcoholic and non-alcoholic drinks to the Councils Bereavement Services

Decision Maker: Director Law and Governance

Decision status: Recommendations Approved

Is Key decision?: No

Is subject to call in?: No

Purpose:

Through its Registration Service, the Council provides a suite of bereavement related services for the residents of the borough and those organisations and families who chose to use its excellent services and facilities.

This includes the provision of catering services at our Reception Suite and newly renovated Café.

Several quotations and tendering exercises have taken place to identify a suitable supplier with no success. A QQ exercise was revisited recently with one quote submitted which by LWC Drinks Ltd which it is felt meets the services requirements.

Therefore, following their return and in accordance with the Contract Procedure Rules it is recommended that LWC Drinks be awarded the contract.

Decision:

That, the Assistant Director of Law and Governance award the contract for the supply of alcoholic and non-alcoholic drinks to the Council’s Bereavement Services to LWC Drinks Ltd, 74 Southern Avenue, Leominster HR6 0QF.

Reasons for the decision:

In accordance with the Council’s Contract Procedures Rules, a Quick Quote (QQ) exercise has been undertaken to establish a 2 year contract from 2 January 2024 to 01 January 2026 for the supply and delivery of alcoholic and non-alcoholic drink to the Council’s Bereavement Services at Sandwell Valley Crematorium.

The quoted prices will remain fixed for the first 12 months of the contract. Then a price increase/ decrease will be applied in accordance with the Consumer Price Index (average percentage increase for the previous 12 months) this will then be applied to the prices for the next 12 months. This will be repeated annually on the contract anniversary.

One quote was returned by the closing date from LWC Drinks Ltd, 74 Southern Avenue Leominster HR6 0QF.

The anticipated expenditure is less than £5,000 per annum.
